1. Introduction to Los Rios Google Apps

This page contains introductory information about Los Rios Google Apps and the free Google Apps provided by Google.  There are many similarities, but several key differences to keep in mind.

 

The purpose of this document is to answer a few basic questions about Google Apps and Los Rios (Gmail and) Google Apps.

 

What are Google Apps?

 

According to the Google Apps Support page “Google Apps is a suite of Google applications…including Email, Google Docs, Google Calendar, and Google Talk.”  These services can be offered under a business or educational institution domain name.  Los Rios has an agreement with Google Apps that has given all employees and students access to the selected Los Rios Google Apps via the link apps.losrios.edu.

 

What’s the difference between Los Rios Google Apps and my personal Google Account (free gmail account)?

 

The Los Rios Google Apps is the Los Rios District version of Google Apps.  Your personal gmail account contains all of the same services (and a little more) for free but supported by Google and not affiliated with Los Rios.

 

There are a few key security and legal features of Los Rios Google Apps that are worth noting.  First, since this is a district approved contract between Los Rios and Google, there is a level of security with Los Rios Google Apps that has met the approval of the District.  According to the Los Rios Google Apps FAQ (question 12),

 

Google is committed to upholding the privacy of your personal information. There is a contractual obligation in place for Google to strictly respect the privacy of Los Rios students and employees. Google also will not use information in the apps.losrios.edu apps to inform their advertising if Los Rios employees and students use other Google apps.

 

Google has agreed that students’ data is subject to “The Family Educational Rights and Privacy Act (FERPA).” This is a Federal law that protects the privacy of student education records. Google has agreed to comply with its obligations under FERPA.

 

In addition to differences in security and privacy, there are some features that are not available under Los Rios Google Apps that are available on a Google Account.  The table below summarizes those differences.

yes(?) – Students do have access to chat and hangouts via gmail, however they can’t chat or use hangouts with the employee’s wID@apps.losrios.edu accounts.  They can do chat/hangouts with other gmail accounts from Google.

 

* – Yes we have groups, but groups are set up to only be shared within Los Rios Apps, in other words you will not be allowed to share a group with someone’s email outside of the wID@apps.losrios.edu email address.

 

** – Mobile apps are not available in Los Rios Google Apps, you can still use a mobile web browser to access apps.losrios.edu.

 

The Basics of Google Apps and Los Rios Google Apps

 

Google Apps is a suite of web applications that can be used to create, edit, share, and/or collaborate documents, spreadsheets, websites, forms, or presentations.  These applications are organized in different ways.  First, there is Google Drive, which functions as an online file storage system and the front page for accessing the document, spreadsheet, form, presentation and drawing applications.  Then there are separate applications such as Google Sites, Groups, Calendar, Contacts, and Gmail (gmail is linked with Hangouts/Chat, but Los Rios Google Apps do not have those features activated for employees).
